Payment Security Policy
How we accept, process, and protect your payment information

This Payment Security Policy explains how Civic Frame ('We', 'Us', 'Our') accepts, processes, and safeguards payments made by clients and advertisers ('You', 'Client') for our digital marketing, public relations, and AdTech Platform services (the 'Services'). This Policy should be read together with Our Terms and Conditions and Refund and Delivery Policy.
1. Accepted Payment Methods
Depending on Your location and the applicable Order, We accept:
- Local bank transfer to Civic Frame's registered business account
- Mobile Financial Services (MFS) such as bKash, Nagad, or Rocket, for eligible domestic clients
- Card payments (Visa, Mastercard) processed through a licensed third-party payment gateway
- International wire transfer / SWIFT for overseas clients and advertisers
- Payment gateway or invoicing tools integrated with the AdTech Platform for advertiser wallet top-ups and campaign billing
2. Payment Terms
- Unless otherwise agreed in writing, an advance payment (typically 50% of the project value) is required before work commences on a new engagement.
- The remaining balance is payable upon completion of agreed milestones or delivery of the final output, as specified in the Order or invoice.
- Retainer and subscription-based Services are billed in advance on a recurring (e.g., monthly) basis.
- For AdTech/campaign services, advertising budget must be funded in advance of campaign launch; Civic Frame will not front media spend on behalf of a Client.
- All invoices are due within the timeframe stated on the invoice (typically 7 days) unless a different credit period has been agreed in writing.
- All fees are quoted in Bangladeshi Taka (BDT) or US Dollars (USD) as specified in the Order, exclusive of applicable VAT, bank charges, or gateway transaction fees, which are borne by the Client unless otherwise agreed.
3. Security of Payment Information
Civic Frame takes the security of Your payment information seriously and applies the following safeguards:
- Card payments are processed exclusively through PCI-DSS compliant third-party payment gateways; Civic Frame does not directly collect, view, or store full card numbers, CVV codes, or card PINs on its own servers.
- All payment pages and data transmissions are secured using SSL/TLS encryption.
- Where card details are retained for recurring billing, this is done through tokenisation by the payment gateway, so that Civic Frame never holds raw card data.
- Access to billing and financial records within Civic Frame is restricted to authorised finance personnel on a need-to-know basis.
- Bank and MFS transfers are verified manually against official transaction references before Services are marked as paid.
4. Fraud Prevention
We reserve the right to verify the identity of the payer, request supporting documentation, or delay commencement of Services where a payment appears suspicious, unverifiable, or inconsistent with the Client's account details. Civic Frame may decline or reverse the processing of a payment reasonably suspected to be fraudulent, unauthorised, or made in error, and will notify the Client promptly where this occurs.
5. Failed, Delayed, or Disputed Payments
- If a payment fails or is delayed beyond the due date, Civic Frame may pause ongoing work, including active ad campaigns on the Platform, until payment is received.
- Any bank charges, currency conversion losses, or gateway fees arising from a failed or reversed transaction are the responsibility of the Client.
- Chargebacks or payment disputes raised with a card issuer or bank without first contacting Civic Frame may result in suspension of the Client's account and Services pending resolution.
6. Taxes
Prices for Services are exclusive of Value Added Tax (VAT), withholding tax, or any other government levy applicable under the laws of Bangladesh or the Client's home jurisdiction, unless expressly stated as tax-inclusive in the Order. Clients are responsible for any taxes applicable to their payments, other than taxes on Civic Frame's own net income.
7. Invoicing and Receipts
Civic Frame issues an invoice or payment confirmation for every payment received. Clients should retain these records for their own accounting and tax purposes. For any billing query or to request a duplicate invoice, please contact Us using the details below.
8. Third-Party Payment Processors
Where Civic Frame uses third-party payment gateways or financial institutions to process payments, those providers maintain their own security standards and privacy practices. Civic Frame is not responsible for outages, security incidents, or policy changes originating from such third parties, but will assist Clients in good faith to resolve any resulting payment issues.
9. Changes to This Policy
We may update this Payment Security Policy periodically to reflect changes in our payment partners, security practices, or applicable law. The updated version will be posted on Our Website with a revised Effective Date.
